Free invoice template for Malta (2026): every field you need

Most Maltese freelancers start invoicing with a free template - a Word file, a spreadsheet, or a PDF found online. That works, as long as the template actually contains everything Maltese VAT law expects on a tax invoice. Most generic templates do not, because they were designed for another country (or no country at all). Here is a complete, compliant layout you can copy, an explanation of each field, and an honest note on where templates stop being enough.
The compliant Malta invoice layout
Copy this structure into your template of choice. Every numbered item is expected on a full tax invoice issued by a VAT-registered (Article 10) business:

Where Word and Excel templates quietly fail
- Numbering drifts. Sequential numbering is a legal requirement, and "INV-007 ... did I already use 008?" is how gaps and duplicates happen.
- VAT maths by hand. A template will not allocate a discount across mixed 18% and 5% lines correctly, or round per rate the way your VAT return needs.
- No exemption prompts. Zero-rate a line in Excel and nothing reminds you that Maltese law expects the legal basis stated on the invoice.
- No paper trail. Templates do not track sent / viewed / paid, chase late payers, or keep the 6-year record Maltese law expects - your file system does.
- Editing history is invisible. If a paid invoice changes after the fact, nothing records it - an auditor will ask.
